Transfers in a job

Transfers provide an effective means of meeting personal needs of the employee which in turn contributes to increased motivation. It also provides an opportunity for new employees and helps broaden the experience of others. Ensuring continuity of employment is of utmost importance for firms today. There is a dearth of talent, it is important to ensure that even if employees wish to relocate for personal or professional reasons, they remain with the organization. If the organization is not flexible on this, the employees will look for other avenues, which hinder retention. Getting a transfer is no longer an issue for organizations as they have various branches within and outside the country. Transfers are either initiated by the management according to business needs or made in response to employee requests and it also depends upon the need of the employee.

Firms encourage transfers for numerous reasons, the key being retaining talent and curbing attrition. They make significant investments for hiring and training employees and retain them by offering them transfers. For an employee, getting a transfer to place of their choice fosters a great sense of belonging and reinforces their loyalty to the organization. However, transferring talent also allows the employees to share and generate new ideas within the company.

Organizations resort to another type of mobility of employees in order to place the right employee in the right job. The type of mobility is restricted to movement of an employee from one job to another in the same level of organizational hierarchy is termed as transfer.

Transfer is defined as “a lateral shift causing movement of individuals from one position to another usually without involving any marked change in duties, responsibilities, skills needed or compensation.

Transfer is also defined as “… the moving of an employee from one job to another. It may involve a promotion, or no change in job status other than moving from one job to another. However, transfer is viewed as change in assignment in which employee moves from one job to another in the same level of hierarchy requiring similar skill involving approximately same level of responsibility, same status and same level of pay. Thus promotion is upward reassignment of a job; whereas transfer is a lateral or horizontal job reassignment.

Organizations resort to transfers with a view to attain the following purposes:

Organizations may have to resort to transfer of employees due to changes in technology, change in volume of production, production schedule, product line, quality of products, change in the job pattern caused by the change in organizational structure, fluctuations in the market conditions like demand fluctuations, introduction of new lines and or dropping of existing lines. All these changes demand the shift in job assignment with a view to place the right man in the right job.

Employees do need transfer in order to satisfy their desire to work under a friendly superior, in a department/region where opportunities for advancement are bright, in or near their native place or place of interest doing a job where the work itself is challenging etc.

Types of Transfers:

* Transfer can be classified into the following types,

* Production transfer: transfers caused due to changes in production.

* Replacement transfer: transfers caused due to initiation or replacement of a longstanding employee in the same job.

* Rotation transfer: transfers initiated to increase the versatility of employees.

* Shift transfers: transfer of an employee from one shift to another.

* Remedial transfer: transfers initiated to correct the wrong placements.

Transfers are basically of three categories, viz., employee-initiated transfer, company initiated transfer and public initiated transfers. The last one is when the employee is working in a Government service and influenced for his good or bad by public elected members to the ruling body of the country or state say a senate or a parliament. Employee initiated is for the convenience of the employee and he or she is in the good books of the employer. The other one is normally initiated by the management for the requirement of the organization. This takes place mostly in the areas of marketing and may or may not be associated with a promotion.

Mobility of people enhances the organizational capacity to meet customer needs and helps us serve them better. It enhances the capabilities of people to work in different environments and cultures and enables the organization to become truly global.

An important benefit of this is that the accompanying exchange of knowledge and best practices across locations facilitates the overall growth of the employee as well as the organization.

At the corporate level, transfer allows managements of companies to be globally resourceful in staffing their needs. At the personal level, it gives an excellent opportunity for employees to take on new challenges to experience new cultures and form new bonds with other employees.

Usually firms offer transfers to all from a trainee to the senior management levels as per individual requests and business needs. But they have put in place certain benchmarks for providing a transfer. Few guidelines such as defining minimum time spent in the organization before requesting for transfers, whether or not the employee was recruited for specific assignment at a specific centre, providing time off for a preview visit etc are put in place to govern transfers policies.

Employees are required to submit their transfer requests online and obtain the necessary approvals from their release from the project. Following these corporate workforce management personnel processes the request. At times, the employees are interviewed by the supervisors of the employee to facilitate their release.

Firms even cover the expenses incurred due to transfer. They cover the relocation related expenses for the employee and his/her family and also provide for initial accommodation while the person is settling down.
